Let's walk through how to set up and launch the Check-In Kiosk.
Set Up The Check-In
To get started setting up your Check-In Kiosk, navigate to the Check-In page from the Admin Dashboard.
Here, you will need to create your stations, or the devices, you’ll use to check-in volunteers, on the Stations tab. Each station should reflect a physical location you will set up a computer or tablet for volunteers to check in.
Name your Station and optionally select a Form to attach for volunteers to complete during check-in. Click here to learn more about Forms. Select Submit.
Next, navigate to the Settings tab on the Check-In page to configure default settings for the check-in process.
- Display Check-In: Allows you to determine when check-in begins.
- Display Check-Out: Allows you to define the number of hours after an Opportunity has finished when a volunteer can check out
- Walk-Up Registration: Allows you to determine if you allow for people to create their Virtuous Volunteer user account on the Check-In Kiosk. If you have new volunteers joining your Opportunity, it’s recommended that you select this checkbox.
- Registration Form: Allows you to show and require a registration form when a new volunteer signs in to the kiosk. This is great if you require a waiver before volunteering. Note: Volunteers will have the option to skip the registration form if a document upload field is attached to it.
- Update Profiles: Allows you to require new volunteers to complete their profile during kiosk check-in so that you can gather more data about your volunteers (who could be prospective donors later!).
- Modify Role: Allows you to let people change their role when they check in.
Launch Kiosk Mode
To use the Check-In Station at your volunteer event, select the Launch Kiosk button in the top-right or if using a different device, navigate to kiosk.vomo.org/kiosk .
Here, select a Station from the dropdown.
Then, select from the list of Serving Dates (Events) that are available for checking in.
When you click on the Opportunity, you will see the list of Participants if volunteers have registered, or claimed the serving time. If the volunteer has not previously registered for this event, simply type their name into the search bar. To check-in, select the checkmark next to the name.
If a Form has been added to the station, the Form questions will appear for the volunteer to complete. If a Group of volunteers have reserved time slots, the volunteer can select or change the Group here, as well. Click here to learn more about bulk reservations for Groups.
If there is a new volunteer without an existing Virtuous Volunteer Profile, they must select the Register Now button at the bottom of the Check-In Kiosk screen. This allows new volunteers to create a Virtuous Volunteer Account and join the Opportunity at the same time. The new volunteer can claim a Group reservation, if relevant, and contribute hours to the Group’s dashboard.
